It’s not meant to capture every scenario. Instead, it offers a realistic, emotionally honest timeline to help set better expectations—especially in a market where things are taking longer and patience matters more than ever.

Before you get started
For best results with direct mail, you’ll want to have these core lists ready.

Farm List
This is your core mailing audience—used for general awareness and market education. Build your list using the following filters:
- Homeowners who’ve owned for 10+ years
- 50%+ equity
- Areas with strong total commission opportunity (transaction volume × average price)
Start with 1,000 homes. Expand if it’s working. Need help pulling the list? Ask your title rep or use tools like PropStream or Breakthrough Broker.
Radius Lists
Used for campaigns like Just Listed, Just Sold, Magic Buyer, or Pre-Appointment letters.You’ll need the ability to quickly pull 100–200 nearby homes around a specific property.
Specialty Lists
Used for targeted campaigns like Expired Listings, Silver Tsunami, and FSBOs.
Pull these from platforms like RedX or similar.
An Email Tool
You need a platform that lets you send mass emails to your database. Use what you have—FUB, Follow Up Boss, Mailchimp, KVCore, Constant Contact, etc. If you’re not set up yet, get that handled first. You can’t send if you can’t hit send.
Three Simple Lists
You need three lists:
Prospects
People you haven't done business with.
SOI/Past Clients
People you have.
Entire Database
All contacts.
A Plain Text Format
These emails are written to feel personal, not promotional—so keep them clean. Paste them as-is, with a short signature (your name, number, maybe your site). That’s it.
A CRM That Can Send Texts
Most modern CRMs can do this—Follow Up Boss, Lofty, Brivity, Real Geeks, etc. Use your CRM before buying anything new. You’ll want tracking, history, and batch-sending capabilities.
If you do need a mass texting tool, here’s what we recommend. But start with manual sends if you have to.

People you haven’t done business with.

People you have.
Entire Database
All contacts.
Engaged Recently
Opened an email or visited your site in the last 7 days.
Not Contacted Recently
No outreach in 30 days (for prospects) or 90 days (for clients).
A Plain Text Format
These aren’t spam blasts. They’re timely, value-based follow-ups. Use their first name. Skip the signatures.

Step-by-Step: How to Create This Instagram Reel

Open the Canva template we provided for this carousel.
This template includes:
- A fully written 9-slide Instagram carousel
- Layouts designed for storytelling and readability
- Editable text, fonts, and colors
💡 Make sure you're logged into Canva to access editing features.
2. Customize the Design
In Canva:
- Update the colors to match your brand
- Swap in your fonts and logo, if you have them
- Edit the area-specific references
e.g., replace “[Your Area]” with your city or neighborhood
e.g., fill in the average days on market
Optional:
- Add emojis, if they fit your tone (🧹📅📸)
- Tweak the text slightly to sound more like you, while keeping the story flow
3. Download the Slides for Instagram
Once your edits are complete:
- Click “Share” → “Download”
- Select PNG format
- Choose All pages (Slides 1–9)
- Save the files to your device or phone (in order)
4. Transfer to Your Phone
If you designed on desktop, airdrop or email the 9 PNGs to your phone.
Make sure they stay in the correct order (slide 1 = intro, slide 9 = CTA).
5. Post as an Instagram Carousel
- Open the Instagram app
- Tap the “+” icon → select Post
- Choose multiple images (tap and hold the first one to enable selection)
- Upload slides in the correct order (1 to 9)
6. Write Your Caption
Use a caption that matches the tone of the carousel: honest, empathetic, and encouraging. Example:
"Selling your home isn’t just a transaction—it’s a process.
Here’s what it actually feels like when you’re selling, fixing, and buying at the same time.
There’s stress, momentum, doubt—and then finally, a decision.
What surprised you most about selling your home?

7. Add Hashtags & Location
Hashtag ideas:
- #SellingAHome
- #[YourCity]Homes
- #HomeSellingTips
- #LifeIn[YourCity]
Tag your city or neighborhood for extra local reach.
8. Share It
- Tap “Share”
- Confirm it’s live and that the slide order is correct
- Optional: Add to a Story or Highlight called “Selling Tips” for long-term visibility

📢 You list your home, expecting strong interest—maybe even multiple offers.
But instead? Silence.
Buyers scroll past. Showings are slow. And after weeks on the market, you’re left with fewer options than you expected—lower offers, a price reduction, or relisting altogether.
